Xero/Sage Integration for Car Dealerships and Garages
Xero and Sage are among the most widely used cloud accounting packages for UK businesses. For a car dealership or garage, automatic integration between your DMS and your accounting software is the difference between accounts being a daily burden and a background activity. Here is how it works in DriveGo.
Why integrate DMS and accounts at all?
Without integration, the typical flow looks like this: the salesperson or technician creates an invoice in the DMS. The same invoice then has to be created manually in the accounting package — or a member of staff exports the day's or week's invoices as a CSV and imports them into Xero or Sage. Customer data is updated in one system but not the other. Payments received through the accounting package have to be manually marked as paid in the DMS. The result is duplicate work, delays and errors. Invoices can go missing, customers can have two different addresses in the two systems, and the bookkeeper wastes time on reconciliation. Integration between DMS and accounts eliminates all these problems by letting both systems share the same data foundation in real time.
What is automated with DriveGo's accounting integration
DriveGo's accounting integration handles six automated flows. First: invoices. When a deal or work order is closed in DriveGo and the invoice is generated, it is transferred automatically to your accounting package with all lines, prices, VAT and customer data. Second: customer data. New customers created in DriveGo are synchronised to the accounts as a debtor, and changes are updated both ways. Third: payments. When a customer pays an invoice through the accounting package, it is automatically marked as paid in DriveGo, and the deal moves to the correct status. Fourth: credit notes. Returns and cancellations are handled as credit notes flowing in the other direction. Fifth: article pricing can be synchronised so you do not have to maintain two product catalogues. Sixth: nominal account codes can be mapped so each invoice line automatically lands in the correct account. The setup itself happens during onboarding, where we connect DriveGo to your existing Xero or Sage account via the official API and configure how data should flow.
How the setup works
To connect DriveGo with your accounting package you need two things. First: an active Xero or Sage account. If you are not yet a customer of either, you will need to create an agreement directly with them — DriveGo cannot create the account on your behalf. Second: an API key or OAuth connection from your accounting package, which you generate in the administration settings under 'API' or 'Integrations'. DriveGo uses this to connect the systems securely. During onboarding we go through the setup together. We configure which invoice types are transferred, which accounts different goods and services should be posted to, how VAT is handled (there are typically different VAT treatments for vehicle sales versus workshop labour), and which number series invoices should use. Once the configuration is in place, the automatic synchronisation starts and you do not need to touch it again.
What about complex invoicing — finance, insurance, F&I?
Car dealerships often have more complex invoicing than ordinary businesses. A typical vehicle transaction can include: the vehicle price itself, first registration fee, delivery charge, accessory add-ons, finance commissions, insurance commissions, a part-exchange that is offset against the total, and possibly a cash deposit. Each line must be posted to its own nominal code and treated correctly for VAT. DriveGo handles this by generating invoices with detailed lines that are each mapped to the correct accounts in your accounting package. During onboarding we configure the mapping specifically for your business so that, for example, 'delivery charge' always lands on the correct account and 'part-exchange' is posted as a reduction in revenue rather than a cost. It requires some thought during setup but runs completely automatically thereafter.
What if I do not use Xero or Sage?
Xero and Sage are the most common, but not the only options. DriveGo has developed its primary integration against these packages because they cover the majority of UK dealerships and garages. However, we have experience with several other accounting systems. For QuickBooks there are export functions that can import DriveGo data manually — not as seamless as direct integration but it works. For larger systems such as Microsoft Dynamics Business Central, integration is available via API, but it typically requires a configuration project. If you use a different system, let us know early in the conversation — we will give you an honest assessment of whether a direct integration is possible or whether you would need to switch accounting packages to get the full benefit of DriveGo's automation.
Common pitfalls and how we avoid them
After numerous accounting integrations we have learned four typical pitfalls. First pitfall: incorrect VAT mapping. Vehicle sales have specific VAT treatments (for example the margin scheme for used cars), while workshop labour is straightforward standard-rated. DriveGo is configured so the system distinguishes automatically, but it requires correct setup from the outset. Second pitfall: duplicate customers. If a customer exists in both DriveGo and the accounting package before the integration is switched on, you can end up with duplicate records. We go through the databases before go-live and match existing customers. Third pitfall: old outstanding invoices from before the integration. We agree together whether these should be migrated, archived, or simply left in the old system with only new invoices flowing through the integration. Fourth pitfall: posting errors because accounts do not exist in the accounting package. We verify the chart of accounts and add any missing accounts before switching the integration on. All of these are handled systematically during onboarding so you do not discover them after go-live.
